Viewing and Exporting Purchases

Hi.Events shows who bought each ticket or product on your event: how many they bought, which order it was in and whether the order has been paid, refunded or cancelled. You can also export purchases to a CSV file. That’s useful for fulfilling merchandise, counting meal choices or sending a supplier the list for an add-on.

How to Get There

  1. Open your event
  2. Click Tickets & Products in the left sidebar (under Ticketing & Sales)
  3. Open the ⋮ menu at the end of a product’s row and click View purchases

The Purchases Panel

A panel opens with the product’s name and how many different people have bought it (Unique buyers). Across the top are four totals:

Below the totals is one row per purchase, showing the buyer, the order number, when they bought it and the quantity. Click a row to open the full order, where you can resend emails, refund or cancel. If you cancel an order from there, the totals update when you close it.

Narrowing the List

Choose which purchases to show:

  • Active — sold and awaiting payment. This is the default
  • Awaiting payment — offline orders you’re still waiting on
  • Refunded — orders that have been fully or partly refunded
  • Cancelled — cancelled orders only
  • All — everything

Search by name, email or order number to find one buyer. On a recurring event, pick a date from All Dates to see purchases for just that date. The totals at the top follow the date you pick.

Refunded Orders Still Count as Sold

Refunding an order doesn’t cancel it. A refunded order that hasn’t been cancelled still counts towards Sold, still takes up capacity, and its tickets still work at check-in. When this applies, the panel shows a warning with the number of refunded orders. Click Show refunded orders to see them, then cancel any that shouldn’t count. To avoid this in future, tick Also cancel this order when you refund. See Refunds & Cancellations.

Exporting Purchases

One Product

Click Export at the top of the purchases panel. The CSV contains exactly what the panel is showing: the same view (Active, Refunded and so on), the same search, and the same date.

Every Product

Click Export purchases at the top of the Tickets & Products page and choose:

  • Active purchases — sold and awaiting payment
  • All purchases, including cancelled

You get one CSV covering every product on the event.

What’s in the File

Each row is one product in one order. If an order bought two price tiers of the same ticket, or tickets for two dates, those are separate rows.

The file opens in Excel, Google Sheets or Numbers.

Purchases or Attendees?

The purchases panel and the attendees list answer different questions:

  • Purchases are grouped by order and work for every product, including merchandise and add-ons that don’t create an attendee. Use them for fulfilment, sales counts and following up with buyers
  • Attendees are the individual people holding tickets, with the name entered for each ticket. Use them for check-in, name badges and guest lists

Tips

  • To find every order that included a product, use the Product filter on the orders page instead. It shows whole orders and exports them with all their order details
  • Export Active purchases for fulfilment lists. Cancelled orders are left out, so you won’t ship something that was cancelled
  • Check for the refunded-orders warning before using Sold as your final count
