Using an Event as a Template

Run the same kind of event again and again — a monthly meetup, a workshop series, a regular club night? While Hi.Events doesn’t have an official event templates feature, there’s a simple pattern that works just as well.

The Template Pattern

  1. Create an event and set it up exactly how you like: tickets, registration questions, settings, promo codes, design, check-in lists
  2. Name it clearly as a template — for example [TEMPLATE] Monthly Meetup
  3. Leave it as a Draft so it’s never visible to the public
  4. Each time you need a new event, duplicate the template — the dialog asks for the new event’s name before it creates the copy

The duplication dialog lets you choose what to carry over — products, questions, settings, promo codes, capacity, check-in lists, images, webhooks, and affiliates. The Name field is pre-filled with the template’s name and is required, so you rename the copy right there rather than afterwards. See Duplicating an Event for the full list.

If you only need defaults for new events rather than a full copy, Organizer Settings → Event Defaults lets you set how attendee details are collected and a couple of other defaults that apply to every new event under that organizer.

Why This Works Well

  • The template never accumulates orders, attendees, or report data, so every copy starts clean
  • You can maintain multiple templates for different event types (e.g. [TEMPLATE] Workshop, [TEMPLATE] Conference)
  • Improvements you make to the template automatically benefit every future event

Tips

  • After duplicating, always review the copy’s dates, ticket sale windows, and promo code expiry dates — these usually need updating for the new event
  • Keep the [TEMPLATE] prefix out of your live copies’ names — clear it from the Name field in the duplicate dialog before submitting
  • For recurring templates: duplicating copies future dates only (with sold counts reset), so an older template’s dates may all be in the past — set up a fresh occurrence schedule on each new copy
