Frequently asked questions about seating charts

How do I make a wedding seating chart?
Start with your venue layout: add the top table, dance floor, bar, and entrance so the room feels right. Then add a round or long table for each group of guests, name the tables, and type guest names into the seats. Drag tables around until the flow works, then export a high-resolution image to share with your venue, planner, or print for the day.
How many guests fit at a round table?
A 60-inch (5 ft) round table seats 8 comfortably, and a 72-inch (6 ft) round seats 10 to 12. Long banquet tables seat roughly one guest per 2 ft of length on each side, so an 8 ft table seats 8 with guests on both sides. Your venue will confirm which sizes they have.
Should I use round or long tables?
Round tables make conversation easy and are the most common choice for weddings. Long tables create a family-style feel and can fit more guests into a narrow room. Many couples mix both: a long top table for the wedding party and round tables for everyone else.
How do I make a seating chart sign?
Seat your guests on the floor plan, then open the Welcome sign tab. The sign fills itself in from your tables, so it is never out of step with the plan. Choose a heading such as “Find your seat”, list guests by table or A to Z, pick fonts and colours, choose the paper size, and export a print-ready PNG for a print shop, a foam board or an easel frame.
What size should a wedding seating chart sign be?
18 × 24 inches suits most weddings of up to about 100 guests, and 24 × 36 inches gives 100 to 200 names room to stay readable from a step back. In the UK and Europe the usual choices are A2 and A1. Past 200 guests, two signs (A to L and M to Z) keep the queue moving. The sign exports in each of these proportions, so nothing is cropped at the printer.
Should a seating chart be alphabetical or by table?
By table looks tidy and works well up to about 80 guests, when people can scan every table quickly. Beyond that, alphabetical by first or last name is faster: each guest looks under one letter instead of reading ten tables. You can switch between the two on the sign with one click and see which reads better for your list.
Can I import my guest list from Excel or Google Sheets?
Yes. Click Import guests and paste your names, one per line, or copy a name column and a table column straight out of Excel or Google Sheets. You can also upload a CSV, and there is a CSV template to download. Guests with a table are seated at it, new tables are created where needed, and everyone else is seated at new tables of 8, 10 or 12. The finished guest list exports back to CSV.
Is there a seating chart template?
The tool opens with a wedding reception template: a top table, eight round tables of eight, a dance floor, stage, bar, cake and entrance. Rename the tables, change the seat counts and colours, or clear it and start from a blank room. Save your own layout as a file to reuse it as a template for the next event.
What is the difference between a seating chart, a table plan and escort cards?
A seating chart and a table plan are the same thing: “seating chart” is the usual American term and “table plan” or “seating plan” the British one. Both show guests which table they are at. Escort cards do the same job with one card per guest, and place cards mark the exact seat at the table. A single sign is cheaper and quicker to make than cards, and this tool makes it from the same guest list.
Does it work for classrooms, conferences and other events?
Yes. Anything with assigned tables works: galas, award dinners, banquets, corporate events, fundraisers and classrooms that seat pupils in groups. Use long tables for rows, relabel tables as teams or departments, and add text labels for the front of the room.
Can I save my seating plan and come back later?
Yes. Your plan saves automatically in your browser as you work. You can also download it as a JSON file and upload it later on any device, which is handy for sharing a draft with your partner or planner.
How do I print or share the seating chart?
Click Export PNG to download a high-resolution image (up to 3x the on-screen size) that prints cleanly on A3 or larger. Share the floor plan with your venue and caterer, add it to your day-of paperwork, and export the welcome sign separately for the door.
