Adding People: Speakers, Artists and Hosts

Everyone who appears at your events in Hi.Events, whether a keynote speaker, a festival headliner or a yoga teacher, has a profile saved to your organizer. You create a profile once, add it to as many events as you like, and any edit you make shows on every event that uses it.

Where Profiles Live

There are two places to work with people:

  • On an event: click Lineup & Schedule in the event sidebar (under Setup & Design). This is where you add people to that event’s lineup, and you can create new profiles here too.
  • For the whole organizer: from the organizer dashboard, click People in the left sidebar (under Library). This lists every saved profile, whichever events they’re on.

Adding Someone From an Event

  1. Open your event and click Lineup & Schedule (under Setup & Design)
  2. Click the Add a speaker, artist or host… box at the top of the lineup panel
  3. Start typing a name
  4. Pick an existing person under Saved profiles, or choose Create ”…” to make a new profile with that name (it’s offered when no saved profile has exactly that name)

People you’ve already added show a tick and can’t be added twice. When you create a new profile, its details panel opens straight away so you can add a photo, bio and links.

The panel is named after your event’s category, so on a conference it’s called Speakers and on a festival it’s called Lineup. See Building Your Lineup for the full list.

Adding Someone From People

  1. From the organizer dashboard, click People (under Library)
  2. Click New profile
  3. Enter a Name and anything else you have, then click Create profile
  4. Add photos once the profile is created

A profile made here isn’t on any event yet. Add it to an event from that event’s Lineup & Schedule page.

Profile Details

FieldWhat it’s for
NameRequired, up to 255 characters
TaglineA short line under the name, such as “Founder at Acme” or “Berlin techno”. Up to 255 characters
BioFormatted text shown when someone opens the profile on your event page
PhotosUp to 8 photos. The first is the main photo
LinksUp to 12 links to their website, music or socials

Photos

You can add photos once the profile exists. Each photo must be a JPG, PNG or WebP under 5 MB and at least 200 × 200 pixels. Square or portrait photos at least 600 pixels wide look best.

The first photo, marked Main photo, is the one used on the lineup. Drag photos to change the order. Visitors can flick through all of them when they open the profile on your event page. People without a photo show their initials instead.

Each link must be a full address starting with https://. Hi.Events gives each link the right icon automatically:

  • Spotify, Apple Music, SoundCloud, Bandcamp and YouTube
  • Instagram, TikTok, X, Facebook, LinkedIn and GitHub
  • Anything else gets a Website icon

If a profile has a Spotify, YouTube or SoundCloud link, the first one that can be played becomes a player inside the profile on your event page. Nothing loads from that service until the visitor presses play. Spotify links need to point at an artist, album, track, playlist, show or episode, and YouTube links at a single video.

The People Page

People shows every profile with the events it appears on and its links. The boxes along the top count your profiles and double as filters:

  • Profiles: everyone saved for this organizer
  • On live events: people on the lineup of at least one live event
  • Missing a photo: people who show initials instead of a photo
  • Not on any event: profiles ready to add to a lineup

Use Search by name or tagline to find someone. Click a person to edit their profile and see the events they’re on under Appears on.

Editing and Removing People

Edit a profile from the People page or from any event’s Lineup & Schedule page. It’s the same profile either way, so a new photo or an updated bio shows on every event at once.

Open a person and use the menu in the top corner to remove them:

  • Remove from this lineup takes them off the current event only. Their profile stays saved for other events
  • Delete profile everywhere removes them from every lineup and schedule for this organizer. This can’t be undone

Profiles belong to the organizer. If you can work on an event but don’t have access to its organizer, you can add saved profiles to the lineup (the box reads Add someone from your saved profiles…) but can’t create or edit them. Ask your account admin if you need that access.

Tips

  • Search before you create. Typing a name shows matching saved profiles first, which saves you from making two profiles for the same speaker
  • Use the Missing a photo filter before you announce a lineup so every card has a face on it
  • Keep the tagline short. It sits under the name on the lineup card, and a role you set for a single event replaces it there (see Building Your Lineup)
  • Got a long list of speakers or acts in a spreadsheet? Import them instead of typing them in one by one
