Building Your Lineup

The lineup in Hi.Events is the list of people appearing at one event: the speakers at your conference, the acts at your festival, the hosts of your workshop. You decide who’s billed highest, what each person is doing, and when they’re announced.

How to Get There

  1. Open your event
  2. Click Lineup & Schedule in the left sidebar (under Setup & Design)

The lineup shows on your event page as soon as you add someone. Before you’ve added anyone, the Preview view shows a short Build your lineup checklist.

What It’s Called

Hi.Events names the lineup and schedule after your event’s category, both in the dashboard and on your event page. On a conference (Business, Tech or Education) they’re called Speakers and Agenda. On a festival they’re Lineup and Timetable.

Event categoryLineup is calledSchedule is called
Music, Festival, NightlifeLineupTimetable
Business, Tech, EducationSpeakersAgenda

You set the category in Event Settings → Event Details → Category. Changing it renames the lineup and schedule straight away. To use a different heading on your event page, change the section’s Heading in the Homepage Designer (see Customizing the Event Page).

The Lineup & Schedule Page

Along the top, four counts show where you’re up to: how many people are on the lineup (and how many are hidden), how many are Scheduled, how many Time slots you have and across how many days, and your Stages & rooms.

The lineup panel lists everyone on this event with their billing and how many time slots they have. People without a time show Not scheduled.

The main panel has three views:

  • Preview: the lineup as cards, grouped into Headliners, Featured and Everyone else, close to how it looks on your event page
  • Timetable, Agenda or Schedule (depending on your category): the drag-and-drop timetable. See Building the Schedule
  • List: every time slot in order, grouped by day

The buttons in the top corner are Import, Export and View on event page. Import and export are covered in Importing a Lineup and Schedule from a Spreadsheet.

Adding People

Type a name into the Add a speaker, artist or host… box and pick a saved profile, or create a new one. Everyone starts as Standard billing. See Adding People for profiles, photos and links.

Billing, Role and Visibility

Click a person in the lineup panel (or a card in Preview) to open their details. The At this event section holds settings that apply to this event only. The same person can be a headliner at one event and a standard act at another.

SettingWhat it does
BillingHeadliner, Featured or Standard. Your event page groups the lineup by billing, headliners first, and emails lead with your top-billed people
RoleWhat they’re doing at this event, such as “Keynote”, “Closing set” or “Moderator”. Up to 100 characters. Shown on their lineup card in place of their tagline
Hide from event pageKeeps them off the public lineup and schedule until you’re ready to announce

Click Save changes when you’re done.

In Preview, each card also has a menu with quick actions: change billing (Make Headliner, Make Featured or Make Standard), Edit details, Hide from event page or Show on event page, and Remove from lineup.

Hiding People Until You Announce Them

A hidden person stays on your lineup in the dashboard, marked with a crossed-out eye, but nothing about them is public:

  • They don’t appear in the lineup on your event page, in widgets or in emails
  • They’re removed from any time slot they’re in. A slot with a title, such as “Surprise guest”, still shows without their name. A slot with no title and only hidden people doesn’t show at all
  • Their time slots are still on your printable run sheet, with a Hidden from event page note naming them, so your crew knows who’s coming. The spreadsheet export lists them too, with Hidden set to Yes

Turn Hide from event page off when you’re ready, and they appear everywhere at once.

Changing the Order

Drag the handle next to a name in the lineup panel to move it. Your event page shows each billing group in this order, so put your opening keynote or top headliner first.

Removing Someone

Open the person and choose Remove from this lineup from the menu, or use Remove from lineup on their card in Preview. They’re taken out of their time slots on this event, and a slot with no title and nobody else in it is removed. Their profile stays saved for other events.

Tips

  • For a conference, bill your keynotes as Headliner with the role “Keynote”, panel leads as Featured, and everyone else as Standard
  • For a festival, add the whole bill early with everyone hidden, then announce in waves by turning Hide from event page off for each batch
  • People don’t need a time slot to appear on the lineup. Add names first and work out times later
  • Duplicating an event copies its lineup, stages and time slots. On a one-off event the slots move with the new start date
  • On recurring events, someone with no time slot shows on every date, while someone with slots only shows on the dates they’re scheduled. See Where Your Lineup and Schedule Appear
