How to write a conference agenda

A good agenda answers three questions at a glance: what is on, when, and where. Use the tool above as a conference agenda template, or as an event schedule template for anything that runs to a timetable.

What every conference agenda needs

  • The event’s name, dates and venue at the top
  • Each day on its own, with its date and weekday
  • Registration and doors, so people know when to arrive
  • Every session with its start and end time, title, speakers and room
  • Breaks, lunch and the social programme, so nobody books a call over them
  • Rooms in the same order on every day, so parallel tracks are easy to follow

Tips for a schedule that runs on time

  • Leave five to ten minutes between talks for questions and room changes
  • Start parallel sessions at the same time, so people can move between tracks
  • Put the keynote early, before the first break, while the room is full
  • Keep titles short. The description can carry the detail
  • Mark a session “All rooms” when nothing runs against it
  • Print a copy for the registration desk and every room host

Questions about the agenda maker

Is this conference agenda maker free?
Yes. It runs in your browser, with no sign-up, no watermark and no limit on days, rooms or sessions. Your agenda is saved in this browser, so it is still there when you come back.
Can I save the agenda as a PDF?
Yes. Click “Print or save as PDF” and choose “Save as PDF” in your browser’s print dialog. Each day starts on a new page, with rooms side by side and anything for all rooms, such as keynotes and lunch, across the full width.
How do I show parallel sessions or tracks?
Add a room or track for each space, then give sessions the same start time and a different room. They sit side by side on the agenda. Choose “All rooms” for keynotes, breaks and lunch. If two sessions overlap in the same room, both are marked so you can fix the clash.
Can I import the agenda into Hi.Events?
Yes. Download the CSV, open your event’s Lineup & Schedule page in Hi.Events, click Import and drop the file in. Its columns are the ones the import reads: Date, Start, End, Duration (min), Stage, Title, People and Description. Each room becomes a stage, and each speaker is added to your lineup, where you can add a photo, bio and links. You see every row before anything is saved, times are read in your event’s time zone, and importing the same file twice doesn’t add the sessions again.
Can I edit the agenda in Excel or Google Sheets?
Yes. The CSV opens in Excel, Numbers and Google Sheets, with one row per session. “Copy rows” puts the same rows on your clipboard, header included, ready to paste into a spreadsheet or straight into the Hi.Events import window.
Can delegates sign up for individual sessions?
Not from the agenda. In Hi.Events the agenda shows your programme, but sessions don’t have their own sign-up or capacity. To limit places on a workshop, sell it as its own ticket type, or as an add-on with its own stock limit.
What’s the difference between an agenda and a schedule?
Most people use the words for the same thing: what happens when, and where. A conference agenda usually means the full programme with speakers and rooms, and an event schedule can be as simple as the times of each part of the day. This tool does both, for workshops, summits, meetups and retreats as well as conferences.
Is my agenda private?
Yes. It is stored in your browser’s local storage on this device and is never sent to our servers. Starting from a template replaces it, and clearing your browser’s site data removes it. If your browser blocks storage, the tool still works but won’t remember the agenda next time.

How this conference agenda maker works

Start from a one-day template, a two-day template with three rooms, or a blank page. Add days with their dates, name your rooms or tracks, and add sessions with a start and end time, a title, speakers, a room and a description. Sessions that start together sit side by side, one column per room, and anything for all rooms runs across the full width. Overlapping sessions in the same room are flagged. Switch between 24-hour and 12-hour times, then print the agenda or save it as a PDF, one day per page, or download a CSV with one row per session. Everything is saved in your browser, and nothing is uploaded.

Publish your agenda and sell tickets in one place
