Where Your Lineup and Schedule Appear

Once you add people and time slots in Hi.Events, they show up on your event page, in order and ticket emails, in website widgets and in the information search engines read from your page. There’s nothing to publish separately. This page explains what appears where, and how to control it.

On Your Event Page

Your event page has two built-in sections: Lineup and Schedule. Each appears as soon as it has something in it and hides itself when it’s empty. Both follow your event’s colours and fonts.

Their headings follow your event’s category, so a conference page shows Speakers and Agenda and a festival page shows Lineup and Timetable (see Building Your Lineup). To move either section, rename it, or hide it, use Sections in the Homepage Designer. See Customizing the Event Page.

To link straight to a section, add #lineup or #schedule to the end of your event page address.

The Lineup Section

The lineup shows a card for each person, grouped by billing with headliners first. Each card has their main photo (or initials), their name, and their role for this event or, if there’s no role, their tagline.

Clicking a card opens their profile with:

  • Their photos, which visitors can flick through
  • Their role, name and tagline
  • Icons for each of their links
  • Their time slots at this event. Click one to open that session
  • A Spotify, YouTube or SoundCloud player, if they have a playable link from one of those services. It only loads when the visitor presses play
  • Their bio

The Schedule Section

The schedule lists your time slots in order, with times in your event’s time zone.

  • Day tabs appear when the schedule covers more than one day. During the event, the schedule opens on the current day
  • Stage filters (All stages and one chip per stage) appear in the list layout when slots are spread across more than one stage
  • A List and Stages toggle appears in the same case. Stages lays the day out side by side, one column per stage
  • On now marks anything happening right now

Clicking a session opens it with its date, time and length, its venue if the stage has one, its description and the people in it. Click a person to open their profile. Add to calendar lets visitors save the session to Google Calendar or Download .ics for other calendar apps.

When you open a session from the schedule, the page address ends in #session- followed by a number. Copy that address to share a link that opens straight onto that session, for example to promote a single talk.

Recurring Events

On a recurring event, each date gets its own lineup and schedule, worked out from your time slots:

  • The schedule for a date shows only the slots that fall on that date (or across it, for dates that run over several days)
  • The lineup for a date shows the people scheduled on that date, plus anyone on the lineup with no time slot at all

So for a weekly class with a different host each week, give each host a slot on their dates and only that week’s host shows. Anyone without a slot, such as a resident host, appears on every date. Ticket emails use the date the attendee booked.

Until a visitor picks a date, your event page shows the lineup and schedule for every date. The Lineup and Schedule widgets do the same unless you pin them to one date in the widget editor.

In Order and Ticket Emails

The order confirmation and the attendee ticket email include a short lineup block, so people see what they’ve booked. It has:

  • A heading: Speakers for Business, Tech and Education events, Hosts for Workshop, Wellness, Spirituality, Sports and Hobbies events, and Lineup for everything else
  • Up to 6 names. Anyone already named in the key times isn’t repeated
  • Up to 5 key times, each with the time, the session and the stage
  • A See the full schedule link (or See the full lineup if there are no times) that opens your event page at that section

The block leads with your Headliner people. If you have none, it uses Featured, and if you have neither, everyone. The key times are the earliest slots those people are in, or simply the earliest slots if they have none. Hidden people are never included. If you’ve hidden the Lineup section on your event page the email leaves out the names, and if you’ve hidden the Schedule section it leaves out the times. On a recurring event the block only covers the date the attendee booked. If an order covers more than one date, the email leaves the lineup block out.

With a Custom Email Template

If you use a custom template for these emails, the block isn’t added automatically. Instead, the template can use lineup tokens, which you insert with Insert Liquid Token in the template editor:

TokenWhat it shows
{{ lineup.heading }}The heading, such as Speakers or Lineup
{{ lineup.names | join: ", " }}The names, separated by commas
{% for slot in lineup.slots %}{{ slot.time }} {{ slot.title }} {{ slot.stage }}{% endfor %}The key times
{{ lineup.url }}The link to the schedule on your event page (or to the lineup, if there are no key times)

The default template text already includes a lineup block built from these tokens. See Customizing Email Templates.

On Your Own Website

You can show your lineup and schedule on another website with Hi.Events widgets:

  • The Lineup widget shows the people on your bill, grouped by billing
  • The Schedule widget shows your timetable by day, with stage filters
  • The Tickets widget (and the pop-up from the Button widget) can show the full Lineup and Schedule sections alongside your tickets. Turn them on under Sections (Pop-up content for a Button)
  • Those widgets also have a Show lineup strip above tickets option, which adds a compact version of your lineup above the tickets

The widgets use the same public lineup and schedule as your event page, so hidden people never appear. If you’ve hidden the Schedule section on your event page, the Schedule widget shows Coming soon instead of your timetable. If you’ve hidden the Lineup section, the Lineup widget only shows people who have a time slot. See Embedding Ticket Widgets for how to set one up.

Hi.Events adds your lineup to the structured data on your event page, the information search engines read behind the scenes. People are listed as performers, with their photo and links, and time slots (up to 100) as sub-events of your event, with their times, stage and people. Search engines can use this when they show your event, though it’s up to them whether and how they do.

Only what’s public is included. Hidden people aren’t. If you’ve hidden the Lineup section on your event page, the performer list is left out, and if you’ve hidden the Schedule section, the time slots are left out.

Tips

  • Check the page before you share it. View on event page on the Lineup & Schedule page opens it in a new tab
  • Share a #session- link for each talk or set when you promote individual sessions on social media
  • If you announce in waves, keep people hidden until their announcement. They stay out of the page, emails, widgets and search data until you show them
  • Want the lineup above the tickets? Drag the Lineup section above Tickets in the Homepage Designer
