Holds, Moves & Printing

Once seats are on sale, Hi.Events shows you what’s sold for each date, lets you hold seats back, move attendees between seats and print the house for front of house.

How to Get There

  1. Open your event
  2. Click Seating in the left sidebar (under Setup & Design)
  3. Click Seat sales and held seats

Seat Sales

The Seat sales page shows the map with every seat’s state:

Click a sold seat to see who it was sold to, then View attendee to open their details. For a recurring event, pick the date at the top.

Holding Seats Back

Hold seats for a sound desk, sponsors, the press or anyone else who shouldn’t be able to buy them online.

  1. Click seats to select them, or hold Shift and drag to select a block
  2. Add a Reason (optional), for example “Sound desk”
  3. Click Hold back (the button shows how many seats, like Hold back 4 seats)

To put them back on sale, select them and click Release. For recurring events you can apply a hold or a release to This date, a few dates with Pick dates, or All upcoming dates. Seats already sold or in a basket on a date are skipped for that date.

At the box office, held-back seats can still be sold after staff confirm they mean to.

Moving an Attendee

  1. Click Attendees in the left sidebar
  2. Open the attendee
  3. Next to Seat, click Change and choose a free seat
  4. Click Move attendee

You can move an attendee to any free seat in a band their ticket is linked to, including a held-back seat. If the attendee has an email address, they’re sent their updated ticket.

When you add an attendee by hand on a seated event, you choose their seat in the same way.

Printing the House

Click Print map on the seat sales page. Choose what to show and how to print it:

Attendee names appear on the printout if you include sold seats, so handle it like any other guest list.

Seating Sales Report

Click Reports in the left sidebar and open Seating Sales. It shows capacity, sold, in-a-basket, held-back and free seats for each price band and area, with gross sales per band. Click Download CSV to export it.

The report only appears for events with a seat map.

Tips

  • Hold seats before you open sales, not after, so nobody buys the seats you need
  • Print the house an hour before doors, when late sales have mostly landed
  • Use a reason on every hold, so whoever looks at the map later knows why the seats are empty
